Our Process

Virtual Assistance is the wave of the future within our current economy! Graphic & Office Connection will help you to: make progress with your business goals; free more time for you by focusing on your to-do list; relieve the stress of trying to do everything yourself; operate more efficiently and profitably; be more organized for your clients, contribute to your business flow; get you where you want to go by accompishing your goals and objectives; earn more money.

Our services require an organized and concentrated effort on your part to provide an outline, previous content or updated written/typed content, as well as any graphic materials, such as photos. We provide consultation services to assist you with written content or to procure graphic materials through stock photo/image sites.

Decision on Retainer Plan

Plan Options are outlined within the Service Plans section. We will work together to determine which option is best for your current needs.

Your Monthly Retainer Plan will be organized according to Hours, Service Areas or Specific Tasks. The Monthly Retainer Plans will include up to X-Number of Hours/Month of Administrative Support (or a combination of Administrative and Graphic Support) as agreed upon. It may also include shared Virtual Office software, if needed. It includes a weekly one hour telephone meeting, unlimited email access/work requests, and a monthly summary of accomplishments. Unused hours do not carry-over into the next month. Additional hours or additional expenses will be billed at the end of the month.

Forms and Agreements

You will be mailed/emailed the following:

  • Client Profile Sheet
  • Client Confidentiality and Non-Disclosure Agreement
  • Monthly Retainer Agreement or Per Project Agreement
  • W-9
  • Upon Receipt of your processed Forms/Agreements and Payment, you will be mailed the following:

    • Welcome Pack
    • Activity & Time Analysis Tool – A Good Thing!

    The Activity & Time Analysis Tool is required to be filled-out within our first month of working together. It will give us important information regarding your business and helps us to get to know you, analyze where your support can best be applied, what work can apply to your Service Plan (and what cannot). and how to proceed. The results will be presented with recommendations for which tasks we can take on immediately, which might need to be planned and strategized, and which entail services we may not provide and require a referral.

Service Plans

Monthly Retainer 20:

A Monthly Retainer Option based upon a minimum retainer of Up to 20 hours of work/month (approx. 5 hours work/week.)

Monthly Retainer 30:

A Monthly Retainer Option based upon a minimum retainer of Up to 30 hours of work/month; (approx. 7.5 hours work/week.)

Monthly Retainer 40

A Monthly Retainer Option based upon a minimum retainer of Up to 40 hours of work/month; (approx. 10 hours work/week.)

Monthly Retainer 50

A Monthly Retainer Option based upon a minimum retainer of Up to 50 hours of work/month; (approx. 12.5 hours work/week.)

Monthly Retainer 60

A Monthly Retainer Option based upon a minimum retainer of Up to 60 hours of work/month; (approx. 15 hours work/week.)

Lump Sum Project Plans

Lump Sum Project Plan Quotes will include a Set Price/Hour with a maximum number of hours projected to complete your project.

Hourly Project Plans

Hourly Project Quotes will include a Set Price/Hour for your project, with no specific projection of hours to complete your project.

Pricing

Toward the end of our Consultation, should we agree that our partnership may be a good fit, Service Plan Options including Pricing will be presented via email for your review. We will discuss which Project Plan might be a good starting point for you.

Expenses may be associated with your project, such as, but not inclusive of the following: photos/graphics image procurement; printing materials for copies/labels; or shipping materials/CD via delivery service companies (Local Courier, UPS, FedEx, US Mail.).

We reserve the right to charge for any outside expenses from your Service Plan balance.

Payment Terms

Once we decide on which Plan is best for you, you will be invoiced via Paypal. Graphic & Office Connection accepts credit cards utilized toward a secure, authorized PayPal account, and standard checks via mail. All payments are required prior to the performance of work.
